Job Description: PART-TIME INTERNAL COMMUNICATIONS MANAGER
(new position: September 2023)

OVERVIEW

Our internal communications manager is responsible for designing and delivering engaging content across all media channels to strengthen our company culture and the high performance of our teams.

We are seeking a tech-savvy digital communications professional who’s comfortable creating a variety of video, email, and web internal communications.

Must have experience and a portfolio to share of communications work and must display skills in MailChimp, Asana, Canva or Adobe, YouTube or Vimeo, WordPress, Loom, Google tools. Must be able to learn Papyrs our company intranet publishing system, to create and publish content.

EXPERIENCE

  • The perfect fit will be a person who has two years or more experience working professionally with internal communications or digital design and video.
  • A 2-year associates or a 4-year bachelor’s degree
  • From 2 to 40 years paid work experience in communications, videography, or web UI/UX development

WORK HOURS & LOCATION

This part-time position entails 10-20 weekday hours each week, with in-person work and work from home both required. Occasional weekend hours are required a few times a year for reasons that can’t be duplicated on weekdays. Location within 10 miles of Alexandria is required.

AREAS OF RESPONSIBILITY

  • Editorial Outlining and Project Calendar Management (30% of tasks): Develop an annual plan for all types of internal communications from all sources (leadership, operations, finance, marketing, HR, training.) Work with stakeholders to identify needs, understand your audience, outline key messaging, create storyboards and content outlines, write copy or scripts for presentations and announcements, identify other needs. Keep a master editorial calendar of content planning, production and delivery.
  • Video Production, Editing, and Embedding (30% of tasks): Capturing and working with live video of employees at work (client visits or office work), or recorded video (Zoom webcasts, Loom recordings), editing footage, producing final videos and categorizing for easy use by all employees on a private YouTube channel or Vimeo site, collaborating with our Marketing Manager to use short clips in external communications.
  • Non-video Content Creation and Delivery (30%): Design and copywrite a weekly email bulletin, update and organize intranet content, script webinar and live delivery content for company leaders, design other communications for reminders, sharing best practices, links to training sources, announcements, and creating new hire onboarding content.
  • New Hire Communications (5%): developing an email drip campaign for new hires, with content and videos embedded, to highlight existing onboarding content and training content over a 1-2 month period while onboarding and certifications are in process.
  • Intern or Digital Artist Selection and Supervision (5%): If interns or specialized graphic designers are ever needed, planning a role description and project expectations guide sheet with clear outlines of tasks, progress, and performance; interviewing and selection; preparing weekly task lists; reviewing weekly performance and progress; writing letters of completion.

REQUIREMENTS

  • Love discovering an audience’s wants and needs, planning communications, building visibility through content, managing change and feedback, and measuring results
  • Manage planning, organization and production of parallel assignments while ensuring accuracy of detail, adherence to standards, and timely delivery
  • Manage interpersonal dynamics in a virtual team, fostering close and trusting relationships without working together in a physical location
  • Manage digital artists or interns with clarity and a fun collaborative working relationship
  • Pass a complete background check, provide references, provide a URL to portfolio or work samples

TECHNOLOGY EXPERTISE REQUIRED

  • Videography and editing tools (even iPhone/iMovie)
  • Google Drive, Docs, Sheets and Forms
  • Asana (internal team schedule planning and editorial calendaring)
  • YouTube or Vimeo management and categorizing of private video collections
  • Canva graphics software (shared team graphics development); Adobe acceptable but not preferred
  • MailChimp email design, campaigns and automations
  • AI content and productions tools including ChatGPT and others
  • Website design and content updates (WordPress plus any other CMS, knowledgebase or employee intranet)
  • Loom (screen & video recording)
  • Zoom (web and phone conferencing) and associated webcasting software
